Creating an order

Last updated: October 16, 2026

What it does

The create button above each list opens the order form for that list’s type. On the quotes tab it starts a quote, and on the purchase orders tab a purchase order. Saving the form creates the order. Lucrii then opens it.

The form arrives part-filled. Payment terms start at Due on receipt. A purchase order with stock lines gets your organisation’s default location to receive into.

Lucrii also picks the order’s team. It tries a team you manage first, then any team you belong to. Failing both, it uses the organisation’s first team.

Before you start

If you leave the page with unsaved changes, Lucrii asks you to confirm first.

Each field stops at its limit as you type or paste. Creating a contact gives the address limits and how Lucrii refuses a longer value.

An Order Reference or a Quote Reference can be up to 100 characters. Terms and Conditions, or Notes on a purchase order, can be up to 50,000 characters. A count shows under them from 45,000.

On the free plan, your organisation can have 3 active quotes, 3 active sales orders and 3 active purchase orders. An order counts as active until it finishes. Winning or losing a quote takes it off the count, and so does closing or cancelling a sales order or a purchase order.

You can add 2 more past that limit. Then the create button turns off, and its tooltip says to upgrade your plan to continue. A banner above the list warns you as you get close.

The Early Access plan limits none of the three.

An organisation with no teams leaves the team field empty when you create an order.

How to use it

  1. Select the create button on the list for the type you want.
  2. In the card on the right, choose the customer, or the vendor on a purchase order.
  3. Add the lines you are pricing or ordering.
  4. On the left, set the terms, the discount and the dates you need.
  5. Select Create.

If the customer is not a contact yet, type their name and select Create new customer, or Create new vendor on a purchase order. A short contact form opens over the order, with the name filled in as an organisation. For a customer who is an individual, switch Contact Type to Person. A vendor is always an organisation.

Email, Phone, Default Currency and Billing Address are optional. The billing address starts on your organisation’s country, and Lucrii uses it for shipping as well. Select Create to save the contact and choose it for the order. Cancel closes the form and leaves what you typed in the search.

Choosing a contact with a different default currency from your organisation’s switches the order to that currency. Lucrii fetches a rate for it. On a customer-facing order, Lucrii copies the contact’s address into the ship-to, unless you have typed one yourself.

Troubleshooting

If Lucrii cannot read the list of teams, a notice above the team field says so.
