Exporting items

Last updated: October 16, 2026

Who can do this: team leaders, administrators and owners.

What it does

Export, in the Actions menu beside Create Item, opens a window with three choices.

  • Records picks the items. Selected takes the items you ticked. All Matching takes every item your search and filters match. Everything takes every item. Each choice shows how many items it covers.
  • Shape picks the file, and the window shows what one row of each file is. Items gives one row per item or variant, with the item’s columns on each variant’s row. Stock by Location gives one row per item or variant at each location where it has a stock figure, even a zero. Each of its rows holds On Hand, Committed, Available and Incoming. Notes gives one row per note on those items.
  • Columns picks the columns in the file. The window opens on All Columns. Columns in This View takes the columns the list shows. Choose Columns lets you tick them one by one. Each column has the name the item import gives it.

Choose Columns keeps the columns the import needs ticked, and you can’t untick them. In an Items file, they are ID, Title, SKU, Handle, Variant ID and Variant SKU. They also include Option 1 Name to Option 3 Name and Option 1 Value to Option 3 Value.

Some columns in an Items file hold figures Lucrii works out, such as Average Cost Price and Incoming Stock. These columns are for reading. Importing and exporting contacts explains them and the headings in the file.

Stock by Location also has Item ID, Variant ID and Unit. Choose Columns starts them unticked, and All Columns includes them.

Notes writes one row per note on those items, oldest first within each item, with its author and its text. Lucrii skips an item with no notes. Exporting orders lists the Notes file’s columns. Columns in This View writes its default columns.

Selected and Everything export in the list’s sort. All Matching exports in the list’s default order.

The export runs in the background. A message says it has started. When the file is ready, a message offers Download and View Job, and Lucrii emails you a link to the export in Bulk Activity. The file name gives your Shape, your choice of records and the day you exported.

The item import reads the Items file. To change items in bulk, export them, edit the spreadsheet and import it again. Only the Items file imports back. Lucrii doesn’t import a Stock by Location or Notes file.

Excel opens an exported file with accented names as you typed them.

You can also ask Hermes to export your items.

Before you start

Exporting is for a team leader or above. Below that, Export is not in the Actions menu.

A file can have at most 1,024 columns. Items adds up to four stock columns for each active location. Items leaves out a stock column whose name passes 128 characters. Only a location with a very long name makes one. Lucrii refuses a wider export before it starts. The message reads like “This export is over 1,024 columns. Leave out at least 6 columns.”

In Stock by Location, Available is On Hand less what unfulfilled sales orders have committed. Incoming is what purchase orders have still to deliver. The file has no row for an item with no stock record anywhere. It has none for an item that does not track inventory either.

You can have three jobs in progress at once, counting bulk actions and exports together. Quotes, sales orders and purchase orders says how the limit works. You can start up to 120 jobs an hour.

Lucrii does not send the email in a demo organisation.

How to use it

  1. Open the Items list.
  2. To export only some items, tick them first.
  3. Select Actions, then Export.
  4. Under Records, Shape and Columns, choose what you want, then select Export.
  5. When the message says the file is ready, select Download, or open the export from Bulk Activity.

Troubleshooting

Lucrii says you already have jobs running. Wait for one of them to finish, or cancel one in Bulk Activity. Then start the export again.

Lucrii says the export has too many columns. Choose Columns and untick at least as many as the message says. Then export again.

Lucrii says you have started too many jobs in the last hour. Wait a few minutes, then start the export again.

  • Importing items from a spreadsheet: Match the columns of a CSV or TSV to item fields, check a preview, then create and update items in one import.
  • Bulk actions on items and locations: Tick items to edit, tag, restock or delete them together, and tick locations to archive, restore or delete them.
  • Items and locations: Browse two lists in Inventory, one of the items you buy and sell and one of the locations you keep them in.
  • Creating an item: Create an item from one form that takes its name, prices, stock tracking and the vendor you buy from.
  • Bulk Activity: See the imports, exports and changes to many records at once that your role shows you, and what happened to each record.
