Creating and editing a task

Last updated: October 16, 2026

What it does

Create Task on the Tasks tab opens the task form. Edit in a task’s header opens the same form on that task.

FieldWhat it takes
TitleThe task’s name
DescriptionOptional context for the task
Due DateThe day the task is due
Work BoardA board, then a column on it, or No board
AssigneeThe team the task belongs to, then the person on it
Task ReferenceA number of your own, such as a ticket in another system
Parent RecordThe order, contact, item, location or task it is about
PriorityLow, Medium, High or Urgent

A task starts at Medium priority and at the Assigned status. Placed in a mapped column, it takes that column’s status instead. A task without a board still appears in the task list.

Hermes can create a task too. You need not name a team. If you are in only one team, the task goes to that team. If you are in no team and the organisation has only one, the task goes there. Otherwise Hermes asks which team the task belongs to.

Before you start

A due date cannot be in the past.

Each field stops at its limit as you type or paste. Creating a contact says how Lucrii refuses a longer value.

FieldWhat it takes
TitleUp to 255 characters
DescriptionUp to 10,000 characters
Task ReferenceUp to 100 characters

The Work Board picker leaves out a board with no columns. A task cannot go on one.

The column picker shows only once you choose a board. It stays greyed out until the board’s columns load.

Only a team leader and above can delete a task. Anyone else finds Delete in More Actions greyed out, with a tooltip saying why. Assignees, watchers and status has the rest. Deleting is the only change on this form your role decides. Any member can edit every field on this form.

How to use it

  1. Open Work Boards, select the Tasks tab, then select Create Task.
  2. Give the task a Title, and a Description if the work needs explaining.
  3. Set a Due Date.
  4. Choose a Work Board, then a column on it.
  5. Under Assignee, pick the team, then the person.
  6. Add a Task Reference, a Parent Record and a Priority where you need them.
  7. Select Create.
  8. To change any of it later, open the task, select Edit, then Save.

If you leave the page with unsaved changes, Lucrii asks you to confirm first.

Troubleshooting

A field says its list could not be loaded. Lucrii could not read the boards for Work Board, or the teams for Assignee. Try again shortly.

  • Work boards and tasks: Browse your work boards and every task in two tabs, each with saved views, bulk actions and a create button.
  • Columns and cards: Add, rename, sort, collapse and reorder a board’s columns, and drag cards between them to change a task’s status.
  • Assignees, watchers and status: Set who a task belongs to, follow it as a watcher, and move it through assigned, in progress, on hold and completed.
  • Parent records and task numbers: Link a task to the order, contact, item, location or task it is about, and copy its T-number from the header.
