Items and locations

Last updated: October 16, 2026

What it does

Inventory has two tabs, Items and Locations. Items are the products and services you sell and the things you buy. An item has a price, tax, unit of measure and stock. Locations are where you hold stock. Every on-hand quantity belongs to one of them.

Each item field has a column. Show or hide most of them from Columns and Sort, beside the search box. Product always shows. Most of the rest start off until you turn them on.

The locations list has Name, Status, Default, Address, SKUs, Stock, Retail Value and Cost Value, plus the same created and updated columns.

Ticked rows bring up a bar at the top of the list. Bulk actions on items and locations lists what it does. The Actions menu beside Create Item holds Import and Export.

A saved view keeps the filters, search, sort and columns it was saved with. Work boards and tasks covers filters, saved views and selecting rows.

Before you start

An Active item can go on orders. A Draft item cannot. You can’t add an Unlisted item to a new order, but orders that already hold it stay as they are.

An archived location keeps its stock levels visible, but Adjust Stock does not offer it.

The Actions menu beside Create Item shows for a team leader or above. Export is for a team leader or above. Import is for an administrator or above.

You can keep up to 50 saved views of your own on each list.

How to use it

  1. At the top of the page, select Locations or Items to move between the two lists.
  2. Select the view’s name at the left of the list’s toolbar, then choose a view to narrow the list. The first time you open a list, it shows its Active view. After that, it opens on the view you last used.
  3. Select a row to open that item or location.
  4. Step to the row before or after from the header. The up and down arrows step through the list you came from, with its filters and sort order. They are unavailable at either end. Audit history and moving between orders describes them.

On Items, the views are Active, Draft and Unlisted. On Locations, they are Active and Archived.

On Items, the search box filters by Status, Tags, Created, Sell Price, Cost, Vendor, Tax or Unit. On Locations, the search box filters by Status or Created.

Your search, your sort, the filters and the page size are saved in the page’s web address. Send that address to someone, and the list opens for them as you left it, apart from which columns you show. Lucrii keeps your columns for your next visit, and a saved view keeps them too.

  • Creating an item: Create an item from one form that takes its name, prices, stock tracking and the vendor you buy from.
  • Stock locations: Add the places you keep stock, with an address and stats for what is held at each.
  • Adjusting stock: Check an item’s quantity at each location on its Inventory card, and raise or lower it outside an order with Adjust Stock.
  • Importing items from a spreadsheet: Match the columns of a CSV or TSV to item fields, check a preview, then create and update items in one import.
  • Bulk actions on items and locations: Tick items to edit, tag, restock or delete them together, and tick locations to archive, restore or delete them.
  • Exporting items: Download your items, their variants or your stock at each location as a CSV from the Actions menu.
