Options and variants

What it does

An option is a name with a list of values, such as Size with Small, Medium and Large. Each value combination is a variant.

The variants table lists each variant with a price, a cost and a quantity, with the average cost paid shown under the cost. Its Inventory cell shows the amount left to sell after open sales orders take what they have reserved, as in “4 available”.

You edit the Variants card on the create form and on the edit form. The item page shows it read-only. It appears there once the options make at least one full combination.

Before you start

An item takes at most three options and 2,048 variants. At either limit, a line saying which limit you reached replaces Add option. An option holds at most 2,048 values, and Lucrii refuses more on save.

An option name or value can be up to 100 characters, and so can a variant’s SKU. A variant title can be up to 255 characters. Where the option values make a longer title, “Variant Title must be 255 characters or fewer.” shows under the variants. Shorten the values to save the item.

Lucrii removes the Add another value box only when one more value would cross the variant limit. A line reads “Maximum 2,048 variants reached” instead.

A new option name or value can’t contain |, since an Items export separates values with it. The card says “An option name can’t contain |.” or “An option value can’t contain |.” when you add a value or select Done. On save, Lucrii also refuses a | in a name or value you changed.

Deleting a variant is final once you save the item.

A stock adjustment skips any variant that is not tracking inventory.

How to use it

  1. Open the item’s Variants card and select Add option.
  2. Type a name into Option name. Type each value into the Add another value box and press Enter.
  3. Select Done to collapse the option. The variants table fills in underneath, with a row for each combination.
  4. Set a price on any variant that sells for a different price from the item.
  5. Drag the handle at the left of an option or a value to reorder it.

To remove variants, select their rows, open the row menu and choose Delete Variants. To adjust variant stock, select the rows, open the same menu and choose Adjust Stock.

Troubleshooting

A line above the variants says they may be out of date. Lucrii cannot refresh the variants right now. The rows on screen are the last ones it loaded. Try again in a moment.

  • Creating an item: Create an item from one form that takes its name, prices, stock tracking and the vendor you buy from.
  • Adjusting stock: Check an item’s quantity at each location on its Inventory card, and raise or lower it outside an order with Adjust Stock.
  • Pricing, shipping and vendor details: Set an item’s prices and tax, its shipping details, the vendor you buy it from and its categories.
  • Editing and deleting an item: Reopen an item in its form with Edit, or use More Actions to view its audit history or delete it through Trash.
