## What it does

Orders has a tab for each of three order types. A quote prices an offer to a customer, and you mark it won or lost once the customer decides. Work you owe a customer is a sales order, which you fulfil and collect payment against. A purchase order records what you have ordered from a vendor. You receive it into a location.

Each list has a strip of figures above it. They cover the last 30 days, compared with the 30 days before. On quotes the strip counts quotes, their value, the conversion rate, and how many were marked won and lost. Sales orders lead with the order count and the revenue, and purchase orders with the purchase order count and the spend.

The figures after those depend on whether your organisation sells goods, services or both, and include Fulfilled, Paid, Received and Outstanding. If your organisation sells services only, Completed takes the place of Fulfilled.

Ticked rows bring up a bar at the top of the list. [Bulk actions on orders](/docs/orders/bulk-actions.md) lists what it does. The Actions menu beside the create button holds Export.

A saved view keeps the filters, search, sort and columns it was saved with. [Work boards and tasks](/docs/boards/overview.md) covers filters, saved views and selecting rows.

A bulk action, an export or an import runs as a job. Bulk Activity under Settings lists each one with what happened to every record. You can have three jobs in progress at once, counting bulk actions and exports together. You can't start a fourth until one finishes or you cancel one in Bulk Activity. Imports don't count toward the three. One import runs at a time in an organisation.

## Before you start

You can keep up to 50 saved views of your own on each list.

## How to use it

1. Select Quotes, Sales Orders or Purchase Orders at the top of the page. If your organisation sells services only, the second tab reads Invoices, and its orders are called invoices throughout.
2. Select the view's name at the left of the list's toolbar, then choose a view to filter the list. The first time you open a list, it shows its Open view. After that, it opens on the view you last used.
3. Select a row to open that order.
4. Select the create button at the top right to start an order of the type you are looking at.

The views differ by order type.

- Quotes start at Open, which covers draft, sent and viewed, and narrow to Draft, Sent, Won or Lost.
- Sales orders start at Open and filter by payment and fulfilment as well as status, through Paid, Unpaid, Unfulfilled, Partially Fulfilled, Fulfilled and Closed.
- On purchase orders the views are Open, Draft, Sent, Not Received, Partially Received, Received, Late and Closed.

Each list ends on All, which lists every order of its type. On Quotes, it also lists quotes marked as won or lost. On the other two lists, it includes closed and cancelled orders. Leave a list on All and it opens on All next time.

On sales orders and purchase orders, Closed also lists cancelled orders. There is no Cancelled view. Read the status badge on the row to tell the two apart.

The fields the search box filters by differ by order type.

| List | The search box filters by |
| --- | --- |
| Quotes | Status, Tags, Created, Total, Customer, Assignee or Team |
| Sales orders | Status, Payment Status, Fulfilment Status, Tags, Created, Expected Date, Due Date, Total, Amount Owed, Customer, Assignee or Team |
| Purchase orders | Status, Payment Status, Received Status, Tags, Created, Expected Date, Due Date, Total, Amount Owed, Vendor, Receiving Location, Assignee or Team |

## Troubleshooting

If the figures strip shows a message instead of numbers, Lucrii could not read them for that period.
